-2- Committee A,B, or C for their approval or disapproval. Furthermore, those students whose records are to be obtained should be individually notified and allowed to forbid such access on a per experiment basis. 7. Unless the cost and administration would be absolutely prohibitive, notice should be sent whenever additions to a student's file are made, other than routine grade reports. 8. Publication in the Schedule of Courses that a student may forbid release of information is a wise idea. However, the introductory material in the Schedule is not especially well read by many people, and an appropriate notice to be published in the Daily Iowan at least yearly is strongly encouraged. 9. When last we spoke with the Executive body of the Student Senate they were not aware of this proposed policy change. It may be that the matter was simply lost or forgotten, as they were just in the process of taking office. We would express our profound regret if they have not been advised of this change. This is a policy which directly affects all students and in your capacity as Vice Provost for Student Services and Dean of Academic Affairs it is your duty to ensure continued student input and consultation at all levels of consideration of this document. We hope that this letter has been of aid to you in your consideration of the proposed policy on confidentiality of student records. If we may be of further assistance in any way, please contact us. Sincerely, [actual signature] Jon Huey Vice-President GSS
