May 1, 1968 STUDENT ACTIVITIES BULLETIN Page 2 NEW FEATURE SERIES This edition of the STUDENT ACTIVITIES BULLETIN marks the beginning of a new series of articles captioned "Get Acquainted With. . ." In each edition we hope to feature one of the services provided for student organizations. Any suggestions regarding the future content of this series should be directed to Mrs. Marcia Whitney, Office of Student Activities, IMU. "GET ACQUAINTED WITH. . ." The Iowa Memorial Union Scheduling Office Any member of a student organization who has reserved a room for an organization meeting in the Iowa Memorial Union is undoubtedly familiar with the Union Scheduling Office, located opposite the State Room on the first floor of the IMU. Mrs. Jean Kendall, the Scheduling Supervisor, has offered some suggestions for student organizations that might make the scheduling process easier, both for her office and for the student organization. Of course, the first step in the process of scheduling a room is deciding when you want to use the room. In the past, students have reserved rooms for organizations meetings at the beginning of the semester, only to find at their first meeting of that semester that these meeting times are not convenient for the members of their organization, and rooms must then be re-scheduled. It would save the student a second trip to the Scheduling Office, and it would save the Scheduling Office a second posting in their master schedule, if a meeting were first held by the organization to determine their plans for the remainder of the semester, and then the rooms were scheduled. Once the meeting dates have been firmly decided, then the following information should be jotted on a piece of paper and submitted to the Scheduling Office: Name of the person making the request, phone and address, name of the organization, the time and date of the event, the number of people anticipated to attend, and the type of event that is going to be held. This is the pertinent information needed to schedule a room and putting it in writing will speed up the scheduling process. The choice of room assigned to your group is generally made on the basis of fitting your needs to the standard set-up of the room. To facilitate this, please tell the Scheduling Office the type of set-up that would best accommodate your group, and let them assign a room to you. Many rooms in the Union have a "standard" set-up; if this set-up must be changed to accommodate your group, then the labor cost increases. Many times another room might already have the type of set-up you need, and would suit your purposes equally as well as the room that would have to be re-set. Of course, if you want a particular room for a particular purpose, the Scheduling Office will make every attempt to aid you in securing that room. If it is a meeting that the organization is scheduling, then it is only necessary to go to the Scheduling Office. If, however, the room is being reserved for an entertainment program it would be advisable to stop first at the Office of Student Activities and secure clearance for the program before reserving the room. Likewise, calendar clearance from Student Activities Board is a prerequisite before final room reservations may be made for an entertainment program.
